Creating Tasks

Set up a new automated task by choosing what to automate, writing clear instructions, and picking a schedule.

Creating a task means telling your AI exactly what you want done and how often. The clearer your instructions, the better the results.

The quickest way: ask in chat

You don't need to open any special page to create a task. Just tell your assistant or an agent what you'd like automated:

"Create a task that summarizes my inbox every weekday at 8am."

Your assistant will confirm the details, set up the schedule, and activate the task — all from the conversation. You can also say things like "Pause my morning briefing task" or "Change that weekly report to run on Thursdays instead" to manage tasks through chat.

This works with any agent that has task management tools enabled, so your specialized agents can set up their own recurring work too.

Using the task wizard

If you prefer to configure everything visually, the task wizard walks you through each step in a form. Here's how.

Before you start

Think about what you want to automate. The best tasks are:

  • Recurring — They happen on a regular schedule (daily, weekly, monthly)
  • Predictable — The output follows a consistent pattern each time
  • Self-contained — The AI has everything it needs to complete the work without asking you questions

If you're not sure whether something should be a task, try asking your assistant to do it once. If the result is good and you'd want the same thing done regularly, it's a great candidate.

Setting up a new task

Open the task wizard

Navigate to Tasks in the sidebar and click New Task. This launches the task wizard, which guides you through each step.

Write your instructions

Describe the work in plain language. Be specific about what you want and what the output should look like. Good instructions include:

  • What to do — "Summarize all new documents added this week"
  • Where to look — "From the Marketing project's knowledge base"
  • What format — "As a bullet-point list with key takeaways"

It's normal to refine your instructions after the first few runs. Think of it like onboarding a new team member — a little feedback goes a long way.

Choose a schedule

Pick how often the task should run. Common options include daily, weekly, and monthly, but you can also set a custom interval. Choose the timing that matches your workflow — for example, a daily briefing works best first thing in the morning.

Select an agent

Decide whether your personal assistant or a specific AI agent should handle the task. If the task relates to a particular domain (like customer support or data analysis), picking a specialized agent can give you better results.

Attach knowledge and skills

If the task needs access to specific documents or capabilities, connect the relevant knowledge sources and skills. This ensures the AI has the right context to do the work well.

Activate

Review the summary, then click Activate to turn the task on. It'll run at the next scheduled time.

Writing effective instructions

The quality of your task output depends heavily on your instructions. Here are some tips:

  • Be specific — "Summarize the top 5 support tickets by priority" beats "Summarize support stuff"
  • Define the format — Tell the AI whether you want bullets, paragraphs, a table, or something else
  • Set boundaries — Specify time ranges, data sources, or scope so the AI knows exactly what to cover
  • Include examples — If you have a sample of what good output looks like, include it in the instructions
